Administrative Assistant

We are seeking a part-time Administrative Assistant to join Present Mind, a holistic mental health private practice in Toronto, Ontario.  

Successful candidate will be caring, calm, highly-organized, and self-directed. After initial training, the Administrative Assistant will work in a primarily independent capacity. The successful candidate will excel at time management, problem solving, and organization. 

The ideal candidate will start working part-time (10 hours/week) and increase in hours (30+ hours/week) as our practice grows.

Scheduling, billing, and medical records are maintained electronically. The successful candidate will be comfortable learning the Electronic Health Record.

Proposed Hours (negotiable, based on your availability) 

Monday through Friday, two hours each day.
For example:
9-11 AM or 10 AM-noon or 1-3 PM or 2-4 PM

Job Responsibilities: 

  • Answer phone calls and emails from prospective and existing clients

  • Complete phone intakes for new clients 

  • Create invoices and process payments for sessions

  • Assist with maintaining a clean and welcoming office environment 

  • Visit medical offices and other referral sources in the area to share information about our services

  • Print, scan, fax, and file documents

  • Perform other tasks as assigned to help the office run efficiently

Qualifications: 

  • Bachelor's Degree (preferred, not required)

  • Compassionate to people who are coping with mental health issues

  • Dependable and self-motivated

  • Detail oriented and organized

  • Ethical and compliant with privacy laws (training provided)

  • Flexible and able to adapt to change

  • Able to work well independently and collaboratively

  • Comfortable with technology

  • Excellent customer service, you will be the first contact welcoming new clients to the practice
